Your trust matters. This policy explains what personal information Mind Your Food collects, why we collect it, how we protect it, and the choices and rights you have. Because nutrition care can involve health-related details, we treat that information as sensitive and handle it with care.

01What we collect

We collect only what we need to provide and improve the service:

  • Information you give us: your name, email, and anything you choose to share in an enquiry, consultation form, or message — which may include health and lifestyle details (such as goals, medical history, or labs) that you provide so we can help you.
  • Account & booking information: login credentials (passwords are stored only in hashed form), appointments, and — where you purchase a service — payment status. Card details are handled by our payment provider; we do not store full card numbers.
  • Information collected automatically: basic technical and usage data such as device, browser, approximate location (from IP), and pages viewed, used to keep the site secure and working.

02How we use it

We use your information to:

  • Respond to your enquiries and provide personalized nutrition guidance and plans;
  • Manage your account, bookings, and payments;
  • Send service messages and, with your consent, our newsletter (you can unsubscribe at any time);
  • Keep the service secure, prevent abuse, and meet legal obligations;
  • Improve our content and the way the service works.

We rely on your consent (which you can withdraw), the performance of our services to you, and our legitimate interests in running and securing the business, as the basis for processing. We process sensitive health information only with your explicit consent or where otherwise permitted by law.

03Sharing & disclosure

We do not sell your personal information. We share it only with:

  • Service providers who help us operate (for example hosting, email delivery, and payment processing), under contracts that require them to protect your data and use it only on our instructions;
  • Authorities, where we are legally required to do so, or to protect our rights, users, or the public.

Your individual records are kept private to you. We design the platform so that one client can never access another client's information.

04Cookies & analytics

We use a small number of cookies and similar technologies to remember your preferences (such as light or dark theme) and to understand, in aggregate, how the site is used.

Session recording — only with your consent

We may use session-replay technology to see how visitors interact with pages so we can improve them. This is off by default and runs only after you give consent. When enabled, sensitive input fields are masked, so what you type into forms (your name, email, or notes) is not captured. You can decline or withdraw this consent at any time.

05Retention & security

How long we keep it

We keep personal information for as long as needed to provide the service and for a reasonable period afterwards to meet legal, accounting, or record-keeping requirements (state retention period, e.g. up to 5 years), then delete or anonymise it.

How we protect it

We use appropriate technical and organisational measures — including encryption in transit, hashed passwords, access controls, and the principle of least privilege — to protect your information. No method of transmission or storage is completely secure, but we work to safeguard your data and to notify you and the relevant authority if a breach affecting your rights occurs.

06Your rights & choices

Subject to applicable law, you may have the right to access, correct, export, or delete your personal information, to object to or restrict certain processing, and to withdraw consent at any time. You can also unsubscribe from marketing emails using the link in any message. To exercise any of these rights, contact us using the details below; we will respond within the timeframe required by law.

The service is intended for adults (18+) and is not directed to children. We do not knowingly collect information from children.
